HENLEY RUGBY FOOTBALL CLUB ltd and Henley Rugby Football Club Ltd (the Club) MEMBERSHIP/SEASON TICKET TERMS AND CONDITIONS
Any reference to “Club” shall mean either or both of Henley Rugby Club or Henley Rugby Club Limited”
BY APPLYING FOR MEMBERSHIP OF the CLUB YOU AGREE TO ACCEPT THE FOLLOWING TERMS AND CONDITIONS.
Neither the Club, its Directors, Officers, Committee, Coaches, Representatives, Servants, Agents or Members shall be liable to any loss, or damage to any property occurring from whatever cause in or about the Club premises, nor for any accident or injuries howsoever caused, to any member/Player during the course of training, pre-match preparation and matches played by Henley Rugby Football Club players or guests thereof, or otherwise, save the extent imposed by statute.
The rights of membership are a privilege which may be withdrawn by the Club’s Management Committee in the event of any disciplinary action being brought against a member.
The Club is a members club and all members have to be over 17. For all players under 17 (except Colts, who’s 17th birthday falls in the playing year, and have been cleared to play) a nominated parent or guardian will be the member. This membership covers the member and their child for the use of the Club’s facilities.

- The Club reserves the right to change the terms and conditions as deemed either necessary or appropriate.
- The Club reserves the right to change and/or withdraw any benefit offered.
- All Membership/Season Tickets and seating allocations are offered subject to availability.
- Membership/Season Tickets cannot be refunded, apart from in exceptional circumstances but will be subject to a 10% deduction for administration fees.
- Membership/Season Tickets cover entry to all National League fixtures. but not necessarily other matches.
- Membership/Season Tickets offers and benefits:

- Some benefits will not be offered to concessions – please refer to exclusions quoted with each offer.
- The Club cannot be held responsible for any lost applications.
- The Club cannot accept responsibility for lost or stolen Membership/Season Tickets – all losses must be reported immediately to the Club. A £10.00 replacement fee will be levied on smart cards.
- The Club reserves the right to cancel and/or withdraw a Membership/Season Ticket which is not paid in full on or before a date the club specifies.
- Any changes to these Terms and Conditions will be notified by Newsletter or email or in exceptional circumstances, by post to Membership/Season Ticket holders. The Newsletter will be the main form of Club communication – you are free to unsubscribe but the Club strongly recommend that members do not, as this is the primary method of communication with the members. All Club notices e.g. for AGM’s etc will be sent only by newsletter or email unless specifically requested by post. All notices will be available on the Club website.
- It is the responsibility of each member to promptly to advise the club of any changes in your personal details, particularly of medical conditions, allergies, contact numbers and email addresses. Members are able to manage their memberships through the secure login screen on the Club website.
- Any monies credited by the club, and not redeemed on a lapsed member’s loyalty card will, at the end of the season, revert to the Club if membership is not renewed within 3 months of the commencement of the following season. It will be the responsibility of the lapsed member to request a refund of any monies remaining on the lapsed loyalty card.
- Although the club welcomes dogs in the paved areas adjoining the clubhouse, dogs (except guide dogs) are NOT allowed in the Club House and on the Playing pitches.
- PLAYING STRIP - Full Henley RFC playing colours must be worn in tournaments, fixtures and on tour as approved by the management committee. The playing kit and equipment is available from the club shop.
- All players MUST be registered with the RFU Game Management System (GMS). The appropriate coach/manager will supply the necessary forms.
- Players who are members enjoy the benefit of the Club’s insurance cover with the RFU in respect of death and permanent injury arising from rugby training or playing, subject to certain limits. There is no loss of earnings cover and playing members are advised to seek additional cover by their own arrangements if necessary.
Parental Responsibilities
- All players MUST be registered on the current RFU Youth Player registration database (GMS). The appropriate age group coach/manager will supply the necessary forms.
- Parents must agree that if their child urgently requires medical treatment during a Club activity and it is not possible to contact either parents or guardians, the senior Coach present is authorised to give consent on your behalf.
- Parents and carers must take responsibility for delivering and collecting their children from the pitches or for making suitable arrangements with a nominated adult for those children to be delivered and collected. It is particularly important to note that this includes making provision for your child to cross the A4155 Henley to Marlow road.
- Parents of all children, but especially those of the Minis, are encouraged to be present at pitch side during training and matches. Unless a specific prior arrangement has been made with the coaching staff, a responsible adult other than the coach must accompany individual players to away matches and tournaments and remain with them throughout the day. Parents should supervise their child’s behaviour in the bar area and in the clubhouse in general. It will be expected that either a change of clothing OR suitable dry top and bottoms will be worn in the clubhouse. No boots or muddy footwear to be worn in the clubhouse at any time.
- Parents must properly represent and support the Youth Section in fixtures and in tournaments through appropriate conduct. Encouragement and respect should be shown to the opposing team and to the referee. Inappropriate behaviour may result in suspension or in termination of membership.
- SAFETY –Football or rugby boots must be worn. Studs should be moulded or removable and must conform to BS6366 1983 or an equivalent standard. A gum shield is essential from U9 squads upwards, and is advised for U7s and U8s. For maximum comfort and safety, a properly fitted shield is recommended. Shin guards for forwards must be supplied and that all kit is adequately marked.
- PARKING – Please use the designated parking areas. Do not park or set down on the Marlow road. To do so is illegal, and hazardous both to your child and to others who may be trying to cross.
- Parents are asked to make every effort to keep touchlines and pitches clear of litter after games played ‘over the road’ by using and emptying the green wheelie bins provided for this purpose.
